Volunteer Job Descriptions

Communications

1. Marketing Committee (4-6 people) - Reports to Director of Marketing. Plans marketing initiatives, reviews KC/IABC literature, ensures compliance with association guidelines, assists with corporate sponsorships and contributes to marketing planning. Time: Monthly meetings, plus maximum of 6-8 hours per month. Requirements/Background: Familiarity with print production process and editing, marketing acumen. Benefits: Participation with hard-working creative team, experience with strategic marketing issues.

2. Editor, Fourth Thursday (1 person) - Reports to Director of Internal Communications. Writes, produces and distributes monthly meeting flier. Works closely with director in gathering information. Time: 4-6 hours per month. Requirements/Background: Writing ability, access to desktop publishing, availability to attend monthly meetings. Benefits: Publication experience, important role in overall chapter communication program.

3. Assistant Editor, Galley Slave (1 person) - Reports to director of Internal Communications. Position created to assist director (editor) in story planning, writing, making assignments and editing chapter newsletter. Time: 2-4 hours per month. Requirements/Background: Writing and editing abilities, good organizational skills, access to desktop publishing. Benefits: Gain exposure and get to know members and how organization works, publication experience.

4. Galley Slave Writers and Photographers (2-3 people per issue) - Report to Director of Internal Communications. Write stories or photograph story subjects as assigned by Galley Slave editor. Time: 2-4 hours per assignment. Requirements/Background: Interview and feature writing skills, publication design and layout skills, black and white photo experience and equipment. Benefits: Gain publication experience and exposure.

5. Press Release Writers (2-3 people) - Report to Director of External Communications. Write and mail monthly press releases, follow up with media, review mailing list, interview scheduled presenters for potential feature releases. Time: 2-3 hours per month. Requirements/Background: Public relations background helpful but not necessary; we're looking for people who are enthusiastic about KC/IABC. Benefits: Opportunities to gain media relations experience and develop contacts with the media.

6. Web Site Coordinator (1 person) - Reports to Vice President of Communications. Maintains and enhances the kciabc.com site on the World Wide Web. Develops and maintains strategic plan for the site, writes copy, posts copy and files, assists other volunteers and board members in developing strategies for using the Web site to promote chapter activities, coordinates with the hosting agency and design agency. Time: 10 hours per month2E Requirements/Background: Ability to access Internet, familiarity with or interest in and a desire to learn about Web communications. Benefits: Opportunity to learn and gain experience in Web communication.

Membership Services

7. Member Reception Planner (1 person) - Reports to Director of Member Recruiting. Organizes member receptions that acquaint prospective members with chapter, district and international services and provide additional networking opportunities for current members. Arranges speakers and meeting locations, promotes receptions. Time: 2-3 hours per month. Requirements/Background: Enthusiasm, special event-planning experience would be helpful. Benefits: Opportunity to become better acquainted with the leaders and services of the chapter and to develop organizational skills.

8. Job Referral Service Promotion Committee (2-3 people) - Reports to Director of Job Referral Services. Assists director in promoting awareness of Job Referral Service among members, nonmembers and employers, other activities as assigned. Time: 3-4 hours per month, more or less depending on specific activities undertaken by committee. Requirements/Background: Interest or experience in promotional communications/marketing. Benefits: Opportunity to assist in managing a key chapter service, increase job listings and increase overall value of this service.

9. Student Chapter Liaisons (1 person per student chapter) - Reports to Director of Educational Relations. Advises and assists members of KC/IABC student chapters (Central Missouri State University, DeVry Institute ofTechnology, Kansas State University, Rockhurst College, Southwest Missouri State University, Truman State University, University of Kansas, University of Missouri-Columbia and William Jewell College). Time: 2-3 hours per month for nine months. Requirements/Background: Knowledge of institution and its communication program is helpful - alumni preferred. Benefits: Opportunity to serve as a role model for students entering the communications profession, share your knowledge and build future membership base for KC/IABC.

10. Student Mentor Program Coordinator (1 person) - Reports to Director of Educational Relations. Helps establish volunteer mentorships between professional communicators in KC/IABC and student communicators. Time: 5 hours per month for 9 months. Requirements/Background: Interest or experience in working with students. Benefits: Opportunity to help students learn about the activities and responsibilities of a communications professional.

11. Student Internship Coordinator (1 person) - Reports to Director of Educational Relations. Helps match students with local companies and organizations for summer internships. Time: 2-3 hours per month, more during April and May. Requirements/Background: Previous internship experience helpful. Benefits: Opportunity to help students obtain on-the-job experience and help companies supplement their communications staff with a minimum of expense.

12. Calling/Fax Committee (15-20 people) - Reports to Director of Member Retention. Notifies members by telephone or fax of important or timely information using a "calling tree" system. Time: 1 hour per month. Requirements/Background: Availability to make phone calls or send fax messages on short notice to a pre-assigned list of 8-10 members. Benefits: Opportunity to assist chapter in increasing awareness of and participation in chapter activities.

13. Member Retention Committee (2-3 people) - Reports to Director of Member Retention. Assists director with various retention responsibilities, including coordination of mailing list requests and follow-up with members who do not renew (exit interviews). Time: 1-2 hours per month. Requirements/Background: Interest or experience in membership retention. Benefits: Experience with list management and a key membership service.

14. Networking Committee: (2-3 people) - Reports to Director of Member Retention. Coordinates "buddy" program (pairing new members with longer-term members), plans and hosts social events to provide networking opportunities among members and between IABC and other communications organizations. Time: 1-2 hours per month. Requirements/Background: Interest or experience in planning social activities, desire to help new members become acclimated to IABC. Benefits: Experience with event planning and promotion.

15. Membership Directory Committee (2-3 people) -- Reports to Director of Member Retention. Assists in publishing chapter's annual membership directory. Time: 6-8 hours for one or two months during the year. Requirements/Background: Interest or experience in membership directory publication, desktop publishing capabilities. Benefits: Experience in producing a comprehensive local directory.

16. Member Recruiting Committee (3-4 people) - Reports to Director of Member Recruiting. Helps process new-member packets and makes follow-up phone calls, assists with annual membership drive, greets guests at monthly meetings and distributes membership packets at registration table, supplies names of prospective members for temporary, complimentary copies of Galley Slave. Time: 2-3 hours per month, more during membership drive. Requirements/Background: Interest in sharing membership benefit information with prospects. Benefits: Opportunity to develop member recruiting skills and help chapter grow.

17. Volunteer Coordination Committee (1-2 people) - Reports to Director of Volunteer Services. Coordinates needs for volunteers to serve on committees and assists board members with special projects. Develops pool of volunteers from membership. Identifies composite list of chapter's needs. Implements volunteer recognition program, in addition to and in conjunction with Bronze Quill awards. Time: 1-3 hours per month. Requirements/Background: Interest or experience in volunteer programs. Benefits: Experience in volunteer development and coordination.

Professional Development

18. Programming Committee (3-4 people) - Reports to Director of Programming. Advises and assists director with topics, scheduling and arrangements for monthly meeting programs. Time: 4-5 hours per program (duties typically are rotated among committee members). Requirements/Background: Interest in programming and professional development. Benefits: Excellent opportunity to develop programming and event-planning skills and network with guest speakers and chapter members.

19. Senior Communicators' Group Facilitator (1 person) - Reports to Vice President of Professional Development. Coordinates meetings for the Senior Communicators' Group. This includes setting up locations and presentations for each meeting. Time: 3 hours per meeting. Requirements/Background: Status as a senior communicator. Previous chapter leadership experience preferred. Benefits: Excellent opportunity to network and discuss advanced communications issues with peers.

20. Free-lance Interest Group Facilitator (1 person) - Reports to Director of Programming. Coordinates meetings for the Free-lance Interest Group2E This includes setting up locations and presentations for each meeting2E Time: 3 hours per meeting. Requirements/Background: Some free-lance experience may be helpful. Benefits: Gain leadership and event-planning skills. Great opportunity to network with KC/IABC freelance members.

21. Seminar Committee (3-4 people) - Reports to Director of Seminars. Advises and assists director with topics, scheduling and arrangements for workshops and seminars, typically offered 4-5 times per year. Time: 5-6 hours per seminar (duties typically are rotated among committee members). Requirements/Background: Interest or experience in programming and professional development. Benefits: Excellent opportunity to develop programming and event-planning skills and network with speakers and chapter members.

22. Mini-Seminar Coordinator (1-2 people) - Reports to Director of Seminars. Coordinates the planning and implementation of the mini-seminar series, usually offered two or three times each year. Duties include scheduling speakers, writing and producing promotional materials and conducting on-site registration of mini-seminar attendees. Time: 9 hours planning mini-seminars and 9 hours implementing mini-seminars. Requirements/Background: Ability to write promotional copy and event-planning experience. Benefits: Great opportunity to sharpen promotional writing and event-planning skills and to network with speakers, chapter members and other communications professionals.

23. Bronze Quill Committee (10-12 people) - Reports to Director of Bronze Quill. Plans and executes annual awards program, including solicitation of the creation, mailing and distribution of all collateral material (call for entries, reminder card, invitation and program); secures corporate sponsorship; coordinates the chapter's judging in addition to securing outside IABC chapters to judge the Bronze Quill entries; arranges for facilities and banquet catering in addition to the event's program and coordinates all event publicity: Time: 4 hours per month, more during January-April. Requirements/Background: Interest or experience in event planning, script writing, judging coordination, mutimedia production, graphic arts, copy writing and fund-raising. Benefits: A great opportunity to showcase or enhance event-planning skills focused toward the greater Kansas City advertising and communications community.

24. Bronze Quill Judges (10-20 people) - Reports to Director of Bronze Quill or Judging Coordinator. Critique/judge entries from other IABC chapters. Time: 2-4 hours per judging session. Volunteers can judge one time or several times during the year depending on personal preference. Requirements/Background: Previous experience preparing or judging IABC contest entries or a desire to learn. Benefits: Opportunity to gain ideas fromother IABC chapters for successful communications programs. Insight into better preparation of contest entries.

25. Accreditation Coordinator (1 person) - Reports to President. Provides educational opportunities to chapter members interested in pursuing the Accredited business Communicator designation. Time: 1-2 hours per month2E Requirements/Background: Must be accredited and have an interest in helping others become accredited. Benefits: Satisfaction of helping others achieve this professional development milestone.

26. Holiday Party Committee (3-4 people) - Reports to Director of Programming. Makes arrangements for annual holiday party held in December, including theme, location, refreshments, invitations and door prizes. Time: 4-6 hours per month, September to December. Requirements/Background: Interest in event planning. Benefits: Experience in planning networking opportunity for members and guests.

27. Table Topic Coordinator (1 person) - Reports to Director of Programming. Works with director to establish subjects for table topics discussions at monthly meetings and arranges for topic leaders. Time: 1 hour per month. Requirements/Background: Interest in professional development and programming services. Benefits: An opportunity to get to know members and their areas of expertise, experience in providing a professional development opportunity.

Administrative Services

28. Meeting Registration Committee (8 people) - Reports to Director of Administrative Services. Greets guests and members, helps with registration for monthly chapter meetings, seminars, special events (holiday party, Bronze Quill banquet, Executive Forum). Time: 2 hours per month for three months (or longer if volunteer so desires). Requirements/Background: Outgoing personality. Benefits: Great opportunity for new members to meet other members, excellent networking position, minimum time commitment.

Ad Hoc Committees

29. Co-Chairpersons, Public Service Committee (1 person for Midtown committee, 1 person for South Kansas City committee) - Reports to Director of Volunteer Services. Works closely with Greater Kansas City Public Relations Society of America (PRSA) co-chairpersons to facilitate communications consulting for not-for-profit organizations. Serves as liaison with Center for Management Assistance and works with committee members to assess communications needs for organizations and to prepare recommendations. Also assists in presenting recommendations to organizations. Time: 8 hours per organization (usually serves six organizations per year). Requirements/Background: Mid- or senior-level communications professional with a well-rounded public relations or communications background. Work experience with not-for profit organization helpful. Strategic-planning abilities are beneficial. Benefits: Excellent opportunity to develop or enhance leadership skills and work in a stimulating creative environment with other communications professionals. Also allows volunteers to serve communityorganizations.

30. Public Service Committee (10-15 people) - Reports to Co-Chairperson, Public Service Committee. Attends committee meetings and offers guidance and recommendations to not-for-profit organizations through a joint venture with PRSA. Time: 2-3 hours per project. Requirements/Background: Interest in counseling local not-for-profit organizations with communications issues. Benefits: Opportunity to network with local businesses and IABC members. Opportunity to share communications experience with not-for-profit organizations in the planning/brainstorming stages.

31. Volunteer Pool - A backup group of volunteers for special assignments that arise during the year, coordinated by the Director of Volunteer Services. Time, background and benefits will vary.

32. IABC District 5 Conference Committee (10-15 people) - Reports to the IABC District 5 Conference Committee Coordinators (two). Will host conference social functions and coordinate other details of the District 5 Conference. Time: Will vary according to assignments. Requirements/Background: Interest in special event planning. Detail-oriented individuals are a must. Benefits: Ideal opportunity to network with members from other chapters and gain special event-planning experience.
